Check In Attendees Using a QR Reader

Understanding QR Readers as Input Devices

QR readers function similarly to USB keyboards. The computer recognizes the reader as a keyboard input device when connected to a computer via USB, wireless, or Bluetooth. This setup allows for straightforward usage: when you scan a QR code, the QR reader decodes it and inputs the data directly into any text field where your cursor is placed, such as a Word document. This process mimics typing the information manually.

Methods for Using a QR Reader for Event Check-In

1. Direct Check-In via an Electronic Device

  • Setup: Position a greeter at the event entrance with a device capable of scanning QR codes—such as an iPad, tablet, or laptop with attached QR reader.

  • Execution: The greeter should log into AMO as an administrator, go to Event Dashboard, place the cursor in the relevant field, then start scanning attendee badges.

  • Outcome: Each scan automatically checks the attendee into the event or course.

  • Important Note: Ensure your QR reader is configured to simulate a Return/Enter key press after each scan. This setting is usually adjustable by scanning a specific code found in the QR reader's manual.

2. Indirect Check-In Using a Wireless Scanner

  • Setup: Use a wireless QR scanner to store scanned codes in its memory.

  • Execution: Attendee badges are scanned and saved without needing a separate computer.

  • Processing Data: Later, connect the scanner to a computer. The stored codes can then be transferred to a spreadsheet.

  • Integration with AMO: Upload the spreadsheet generated by your third-party wireless scanner to AMO as an Excel file to mark attendees for your event or course.

Important Note: When the association uses the scanner for multiple activities—e.g., scanning event attendance and then scanning course attendance for one or more courses—it is necessary to export the scan data after each distinct activity and clear the scanner. This ensures that multiple entries aren't combined into one and that the data is tracked correctly.

Recommended QR Reader

For efficient and effective event check-in, consider using a device like the TEEMI Wireless Barcode Scanner. This scanner supports 2D barcodes (QR); can store up to 20,000 codes; and offers wireless connectivity.

Final Tips

  • It's crucial to practice the check-in process before the actual event. This ensures familiarity with the workflow and allows you to troubleshoot any potential issues in advance.
